Software Break-Even Calculator for Service Businesses
Estimate the time saved, additional job contribution or recurring costs removed that would cover a software subscription and its setup costs. Use your own assumptions, not a promised industry average.

Test your own payback assumptions
Model one benefit path at a time. Enter your software cost, implementation expense and the kind of value you expect.
Your entered figures stay in this browser: the calculator does not submit them or save them, and reloading clears them. Routine site browsing may be handled as described in our Privacy Notice.
Buying software is an investment, but “it will save time” is not a break-even calculation. The answer depends on your actual subscription, implementation effort, team and the work you expect the system to change.
This free software break-even calculator lets a small service business test one value path at a time: time released for valuable work, contribution from additional jobs, or recurring costs removed. It uses your own estimate and shows the threshold needed to cover the modeled monthly cost.
Enter the software cost first
Use the monthly subscription for the plan and team size you actually expect to buy. Include one-time setup or migration costs, then choose how many months to spread that cost across for this comparison. You can use the field-service software cost calculator to model those charges first, then enter its monthly and one-time amounts here.
Choose one benefit to test
- Time: estimate monthly hours released and enter the value of an hour to your business. Time is not automatically cash; it only has economic value if you can use or avoid paying for it.
- Additional jobs: enter only genuinely additional jobs and their contribution after variable costs, not their full sales revenue.
- Costs removed: enter recurring cash costs that you would actually stop paying.
Do not count the same capacity twice. For example, if extra jobs are possible only because software releases staff time, choose the additional-job path rather than adding both that time and those jobs as separate benefits.
How to read the result
The threshold is the monthly benefit needed to cover the subscription plus the one-time cost spread over your chosen period. The scenario result compares the benefit you entered with that modeled monthly cost. A positive result does not prove the software caused the change; test assumptions during a trial and use conservative estimates.

Frequently asked questions
Does the calculator assume software saves a certain amount of time?
No. You supply your own estimate. The tool provides the break-even threshold so you can judge whether your estimate is plausible.
Should I use job revenue or job profit?
Use contribution after variable job costs, not total revenue. Revenue alone overstates the amount available to cover software.
Can I count saved hours and extra jobs together?
The calculator asks you to select one benefit path to reduce double-counting. If you test both, treat them as separate scenarios unless the benefits are demonstrably independent.
